Most coaching institutes in India already run on WhatsApp: a few class groups, a broadcast list for fee reminders and an office phone that never stops buzzing. That works for 40 students. At 300, fee follow-ups slip, marks land in the wrong chat and nobody knows who answered which enquiry. This guide covers what institutes and tuition centres use the WhatsApp Business API for, what it costs at Meta's rates, the rules for messaging students and parents, and setup.
The short answer
- Message each family one to one, from one official number. Fee reminders, absence alerts, batch changes and results go to the parent (and the student, if old enough) individually, not to a group.
- It costs paise per message. Meta charges ₹0.115 per fee reminder, absence alert or result update in India, before GST (about 14 paise with GST). Admission campaigns are marketing messages at ₹0.8631.
- Get consent, and plan for parental consent. Meta requires opt-in. Under India's DPDP Rules, from around May 2027 you'll need verifiable consent from a parent before processing the personal data of a student under 18.
- A 300-student institute pays about ₹2,724 a month in total with Mywa, including an admissions campaign and GST.
What can a coaching institute use WhatsApp for?
1. Admission enquiries from ads and Google
Most enquiries arrive in the same few weeks before a new batch starts. If you run click-to-WhatsApp ads on Facebook or Instagram, every chat that starts from the ad is free for up to 7 days once you reply. People who find you on Google can tap a WhatsApp button on your website (make one with the WhatsApp link generator). An automated first reply asks the class, board or exam, and preferred timing, then hands the chat to a counsellor. New enquiries can be copied to a Google Sheet so none are lost.
2. Demo-class booking
Once a counsellor fixes a demo class, send a confirmation and a reminder the evening before, with the address and timing, then a follow-up after the demo to reserve a seat.
3. Fee reminders and payment links
A reminder a few days before the due date, with a payment link, saves the office a round of phone calls. In Mywa, payment requests go through your institute's own Razorpay, PayU, BillDesk or Zaakpay account, so the money comes straight to you. Send a second reminder only to families who haven't paid.
4. Attendance and absence alerts to parents
"Aarav was absent from today's Physics class" is a short utility message to the parent, sent the same day. If your attendance software can send a webhook, or you use a tool like Zapier or Make, it can go out automatically. Otherwise, the office tags the day's absentees and sends one template to that list.
5. Timetable and batch changes
Rescheduled classes, holidays and extra doubt sessions go only to the batch affected, using tags or lists, as a personal message that doesn't drown in a busy group.
6. Test results and report cards
Send each student's marks or report card to that family only, never in a group. Check that the number on file belongs to the parent before you send anything sensitive, and keep merit lists with names and marks off WhatsApp groups and out of ads unless the family has agreed.
Why don't groups and broadcast lists work at this size?
- They run on one phone. One person answers everything, and when they leave, the chat history leaves too.
- Groups expose everyone. Members of an ordinary group can see each other's numbers, and one parent's complaint or one student's marks reaches the whole batch.
- Broadcast lists only reach people who saved your number, with no record of who read the reminder or who asked you to stop.
The API sends approved templates to anyone who opted in, tracks delivery and reads, and lets several staff answer from one number. See WhatsApp Business app vs API for the full comparison.
What does it cost in India?
Meta charges per delivered message, by type. These are its rates for Indian (+91) numbers, effective 1 October 2026, from Meta's pricing page:
| Message | Coaching example | Meta's rate (before GST) | With 18% GST |
|---|---|---|---|
| Utility | Fee reminder, receipt, absence alert, batch change, result | ₹0.115 | ₹0.136 |
| Authentication | OTP to log in to your student app or portal | ₹0.115 | ₹0.136 |
| Marketing | New batch admissions, crash course, scholarship test | ₹0.8631 | ₹1.018 |
| Service | Your replies within 24 hours of a parent's or student's message | First 1,000 a month free, then ₹0.115 | ₹0.136 |
Messages families send you are always free. Meta decides the category when it reviews each template: a fee reminder that also offers a discount becomes marketing. Check yours with the template checker.
A worked example. An institute with 300 students, messaging parents, in one month:
| What | Messages | Cost before GST |
|---|---|---|
| Fee reminders (300), second reminders (90) and receipts (300) | 690 | ₹79.35 |
| Absence alerts (about 15 a day, 26 days) | 390 | ₹44.85 |
| Batch and timetable changes (4 notices to 300 families) | 1,200 | ₹138.00 |
| Test results (2 tests, 300 families) | 600 | ₹69.00 |
| Admissions campaign for the new batch (marketing) | 1,000 | ₹863.10 |
| Replies (2,000; 1,000 free, 1,000 charged) | 2,000 | ₹115.00 |
| Paid to Meta | ₹1,309.30 | |
| Mywa subscription | ₹999 | |
| Total | ₹2,308.30, or ₹2,723.79 with GST |
That's about ₹9 per student a month for everything. The one admissions campaign costs more than all 2,880 fee, attendance, schedule and result updates put together (₹331.20). Try your own numbers in the WhatsApp API pricing calculator for India.
What rules apply to messaging students and parents?
This isn't legal advice.
Meta's WhatsApp Business Messaging Policy says you may only message people who gave you opt-in permission to hear from you, and you must respect requests to stop. Put a separate WhatsApp consent line on the admission form.
India's Digital Personal Data Protection Act, 2023. The DPDP Rules were published on 13 November 2025, and most obligations, including clear consent notices and the children's rules, apply 18 months later, from around 13 May 2027. For coaching institutes, three points matter:
- Under 18 is a child. Before processing a child's personal data, you need verifiable consent from a parent, and Rule 10 asks you to check that the person consenting is an identifiable adult, for example from identity details you already hold or a DigiLocker token.
- No targeted advertising at children. The Act bars targeted advertising directed at children, so send admission campaigns to parents, not to students under 18.
- The education exemption is narrow. The Rules exempt educational institutions only for tracking and monitoring needed for their educational activities or children's safety. It isn't a general pass for marketing.
Breaching the children's obligations can cost up to ₹200 crore, so build parent consent into admission now.
TRAI's DND rules (the TCCCPR, 2018, last amended in September 2026) govern commercial SMS and calls on telecom networks, so a parent's DND registration doesn't apply to WhatsApp the same way. On WhatsApp, the opt-in and opt-out rules above do that job, and if you also send SMS, DND still applies there.
How to set it up with Mywa
- Connect your institute's number through Meta's Embedded Signup. A number on the WhatsApp Business app can stay on the app with coexistence. See how to connect a number to the WhatsApp Business API.
- Import students and parents from a CSV, tagged by batch, and record who opted in.
- Create your templates: demo-class confirmation, fee reminder with a payment link, absence alert, schedule change and result update, and submit them to Meta from inside Mywa.
- Set up automation for ad and website enquiries: an instant reply, a few qualifying questions and handover to a counsellor, with quiet hours at night. See WhatsApp automation.
- Add your team to the shared inbox: up to 5 people, with each chat assigned to someone.
A new number can message 250 unique contacts a day at first, and Meta raises the limit as you message with good quality, so spread the first fee reminder over two days.
Where Mywa fits
Mywa is ₹999 a month (₹9,999 a year) plus GST, with every feature and 5 team members included, and Meta bills message charges directly to your own WhatsApp Business Account with zero markup. See Mywa pricing.
It suits an institute or tuition centre that wants one official number for admissions, fees and parent updates. It isn't an attendance system, learning app or fee ledger: it sends messages from the data you give it. If your institute software already sends WhatsApp messages well, you may not need another tool, and a chain needing more than 5 people on chats will outgrow the included seats.
